Getting started

From a job list
to your first recorded hour.

Managers set up the work. Employees tap a job when they start. Use this guide to get everyone signed in and keep the hours useful.

For managers

Give the team something to tap.

1. Create your company's workspace.

Create your workspace with your shop name, your name, email, and password. Choose the shop's timezone carefully: reports and daily totals use it. One manager and one employee are included free.

After setup, managers sign in with their email and password. The shop code field on the sign-in form is for employees; managers can leave it blank.

2. Add the jobs your team is working on.

Open Jobs, choose Add a job, and enter a job number and name. A short description is optional. Use names the people doing the work will recognize. Open jobs appear on employee job boards.

Have a list already? Choose Import spreadsheet. Upload a CSV or XLSX file with headings in the first row, then match your columns to job number, job name, and an optional description. For an Excel workbook, MinuteMill reads the first sheet.

Choose Preview import and check the jobs before importing. Give the column mapping a name to reuse it with the same spreadsheet format next time. Matching job numbers update existing job names and mapped descriptions; jobs left out of the file stay as they are.

Import up to 1,000 jobs and 20 columns at a time, in a file up to 2 MB. If a workbook contains formulas, export the job list as CSV or paste its values into a new sheet first.

3. Invite your employees.

Open Employees and choose Invite an employee. Enter their name and a username. You can include an email address, but employees do not need one to use MinuteMill.

Share the employee's setup link privately. If you supplied an email address, they can also receive the invitation by email. The link can be used once and expires after seven days. The employee follows it and chooses their own password.

You can also enter an optional hourly labor cost. Managers see that rate and the resulting recorded labor costs. Rate changes apply to new time entries.

For employees

Your job board is in your browser.

Use the setup link from your manager to join the company and choose a password. For later sign-ins, use your shop code, username, and password. Ask your manager if you do not have an invitation or cannot find your code.

Start a job.

Open MinuteMill on your phone and tap the job you are starting. Check that the current job and running timer appear. Search by job number or name if the list is long.

Stop for a break or the end of the day.

Tap Stop this job or the active job card. Check that the timer has stopped. Closing the page or locking your phone keeps the timer running.

Switch when the work changes.

Tap another job card. MinuteMill ends the current entry and starts a new one at the same time. Check the new job name before carrying on.

Add a note when context will help.

Open Notes under your running job to explain something while it is fresh. You can also open My hours and add a note to a previous entry. Your notes are visible to you and your company's managers.

Adding a note does not change the times. Employees cannot edit recorded start or stop times. If you picked the wrong job, missed a stop, or see another timing mistake, tell your manager what happened.

If the connection drops.

Your current timer keeps running on the server. Starting, stopping, switching, and saving notes need an internet connection. Reconnect and check the current job before continuing. If the time needs adjusting, ask your manager.

For managers

Review the hours and keep the context.

Open Hours and select the date range you want to review. Filter by employee or job, or leave both set to all. The report includes running time as of the time shown on the page. All report dates use your company's timezone.

Expand an entry to see its start and stop times, read notes, or add your own note. To fix a time, enter the correct start and end and give a reason. Saving a correction retains the original times and the reason. Adding an end time to a running entry stops its timer.

Use Export CSV to download the selected report. It includes the employee, job, start and end times, recorded hours within the selected dates, and labor cost where a rate was supplied.

When a job is finished, open it in Jobs, change its status to Closed, and save. It will no longer be available for employees to start. Check for running timers as part of your end-of-day review.

A daily check-in

Set the recap to suit your day.

In Settings, turn the daily email recap on or off and choose its send time. The default is 6:00 PM in your company's timezone. Active managers receive the day's labor hours by employee and job, notes added that day, and a reminder about timers still running.

The recap covers the day up to the time it is sent. Work recorded after that is still available in the Hours report. Choose a send time after your usual working day if you want that day's email to include the whole shift.

Need a hand?

Managers can use Contact support from the signed-in menu. If you are not signed in, send MinuteMill a message. Employees should ask their manager about invitations, passwords, job availability, and time corrections.
